Promap IQ Most Frequently Asked Questions
What is the benefit of Promap IQ compared to going directly to the local authority?
Promap IQ is the only website where you can spatially view the results of your planning search. Promap IQ is a one stop shop where you can view when there
are planning applications, points of interest and listed buildings for the area you need. This is the only website showing England's listed buildings.
How frequently is the information updated?
Our planning data is updated every week. Note: it could be up to six weeks from the date of an application to the time it appears in Promap IQ due to
data processing time.
We receive updates for listed building information from English heritage every 12 months.
Points of interest data is updated every 3 months
Why can't I save the view I have paid for?
Because PromapIQ is an interactive, Pay As You Go system, making it faster and easier to use. It is not designed to be the same kind of platform as Promap.
You are able to take the information out in the form of a report and save it in PDF format on your PC.
I've accidentally unticked a piece of data that I really need but I've already ordered the report. Is there anything I can do to get it back?
Unfortunately not. PromapIQ is an interactive, Pay As You Go system that provides a completely bespoke product which cannot be altered or returned.
If I mistakenly select an incorrect site and request a report for this incorrect site can I return this and get my money back?
No the information and reports purchased from Promap IQ are non returnable therefore non refundable. You must take care to select the correct information
before you agree to purchase it.
Can I remove the PromapIQ box that appears in the top right hand corner or Promap?
No, it is a fixed part of the Promap website now, you are able to minimise it so it won't obscure your view of the map but you are not able to remove it. You
can hold down your left mouse button and drag the map to roam and see behind it.
Why is the planning information for the site I know of locally not showing?
Geographical locations for each application are identified by Landmark and those that can be located to an address are included in the Promap IQ report. Some
sites do not have accurate locations and therefore we have placed these as near to the site as possible.
Some of the records included in the report may not have an Application ID or Application date. Such records contain information gathered from the trade press
or tender requests and, in most cases, will be in the very early pre-planning stage. The proposed works may not require planning permission at all.
What is the maximum number of spots I will be able to get on a Promap IQ report?
Promap IQ can display a maximum of 500 spots on your map per category. This means that a maximum of 1500 spots will be displayed on your map. If there are
more than 500 spots in a category for your chosen site Promap IQ will display the 500 closest to the site centre for that category.
Each category heading will show in brackets the total amount of data spots found for that category

used.
Can I access maps when I am out of the office?
Promap is an internet service and is only available online. You can print to a PDF or export the data as a DXF to use when you don't have access to the
internet.
If the web page is loading up correctly and just the Username & Password fields are not visible or showing a 'Page Cannot be Displayed' message in the area
they should appear, then it is likely that HTTPS traffic or port 443 is being blocked. This is commonly caused by a firewall (Hardware or Software). To
correct the problem please refer to your IT department or the help file / user manual for your firewall to resolve the problem. Unfortunately, Landmark
Technical Support are unable configure your firewall.
Login Error Messages
When you login you may encounter one of these error messages:
LP02/3 - These indicate that there is a problem with your Username or Password (Link to Are Your Details Correct)
LP04 - Your user account has been put on stop by an admin user in your company, if you do not know who your admin user is please contact our Customer
Service team on 0844 844 9960.
LP06 - There is an unpaid invoice for you company that has passed the 30 day payment window. To find out more information please contact our Accounts
team on 0844 844 9963.

Logging in error message: "Promap is already running elsewhere" - This is caused by the web browser not closing correctly from the last time that
Promap was used, the solution to this is to enter in the username & password then hold down the Ctrl & Alt keys on the keyboard whilst clicking on
login.
Are Your Details Correct?
If you have got an LP02/3 error message please check that your details have been entered correctly. Usernames & Passwords are case sensitive and can be a
combination of upper & lower case letters and can also include numbers. Some examples of these are:
Popup Blockers
Popup blockers will stop new windows from opening from an existing window. Examples of these are error messages, adverts etc. Promap uses popup windows to
display error messages, terms & conditions dialogs & various other windows that must appear over the top of mapping data so that you don't lose what you have
paid for. Please note: Landmark Information Group does NOT use popups for advertisements.
There are many packages, toolbars & browser add-ins that have the capability to block pop-ups. Our System Compatibility page performs a check to see if you have got a popup blocker on your
system. If this states Popup Blocker: Yes, then there is a popup blocker operating on your system that will affect your use of Promap. In this case you will
need to add *.promap.co.uk to the white list on the popup blocker. If you do not know how to do this then please refer to your IT department or the help
files for your Popup blocking software. Landmark Technical Support can help you to do this where possible. Please call 0844 844 9961.
Version Checking
When the message 'Checking the version of the currently installed ActiveX control' is displayed, you have successfully logged into Promap. If this page
remains on screen for longer then the stated estimated times, there is likely to be a problem with the ActiveX control.
Browser Compatibility
The Promap ActiveX control will support Microsoft Internet Explorer versions 6 SP1 & SP2 and 7. Please check our system compatibility section.
Please note: We support Internet Explorer and are currently unable to support other browsers such as Firefox, AOL browser & BT Yahoo browsers. If you are
running one of these browsers please use Microsoft Internet Explorer which can be found on your Start menu.
Microsoft Information Bar
Since Windows XP SP2 was released Microsoft have implemented an information bar which is designed to be a notification area for information relating to an
action your browser has performed to ensure you are protected whilst using the internet. This bar also allows you to override the block it has just set in
place.
To see the types of messages you can expect to see in the information bar and what to do about them please click here. (link to ActiveX install doc)
Security Restrictions
Most computers now come with pre-installed security software to ensure you remain protected whilst online and all corporate networks will enforce security
measures to ensure that the network is kept secure.
If you are getting stuck on the Version checking page please ensure that the information bar isn't being displayed (Link to Microsoft Information Bar). If
the bar isn't appearing and you are not part of a corporate network we suggest that you check your security software logs to see if the ActiveX control is
being blocked by this. Please refer to the help documentation for your security program.
If you are part of a corporate network and not getting the information bar but are stuck on the Version checking page we suggest that you contact your IT
team.
If you are still experiencing problems, please download the ActiveX control from our website.
Error Messages
There are a number of possible error messages that can appear whilst trying to install the ActiveX control for our site. These are listed below together with
their solutions:
An Error Occurred whilst attempting to upgrade your control - This is normally associated with an unsupported web browser - please check that you
are running a compatible browser.
Unable to initialise control library, error code 126 - This is caused by a corrupt DLL file on your PC. The file in question is PSAPI.dll - to
repair this you will need to contact your IT team or you will need to re-install the latest service pack for your operating system.
Web page not loading correctly
There may be instances where the web page doesn't load properly, for example, some of the images may appear but others won't or the screen may appear
squashed. This normally occurs when you have a proxy server on your network that is intercepting information being sent between your system and ours. The way
to get around this particular error is to allow the page to finish loading (i.e. the status bar goes all the way over to the right & disappears) then
simultaneously hold down the following two keys on your keyboard: Ctrl + R. This will force your system to do a full refresh of the information it has
downloaded and it will then allow the page to display correctly.
A further step which will help prevent future occurrences of this would be to speak to your IT team and ask them to make a bypass rule for our website on the
proxy server. This means that any traffic from our website to your system will not have to go via the proxy server. Further information on the benefits to
this can be obtained from Landmark Technical Support by calling 0844 844 9961.
Errors on Page/Script Errors
Errors on Page/Script Errors appear next to a yellow warning triangle which gets displayed at the bottom left of the window where 'Done' would normally
appear.
This may occur becausse either the web page in not loading correctly or there is a corrupt file in your computer's temporary internet files.
To clear your temporary internet files, got to Tools menu - Internet options and click delete files.
Locating a site/opening a map
Map not loading
In some instances the map may not load (either a previously saved or a new map). All that appears is a white screen where the map should be and in the top
left hand corner a loading symbol. This normally occurs when something has blocked communication between your system and ours, for example an anti-spyware
system.
If possible add Promap to the list of trusted sites and this should allow you to use the site without further incident. For information on how to add us as a
trusted site please refer to your IT team or the help documentation for your anti-spyware program.
Address not appearing in results
The most common instance of this occurring is when the address being entered is too new for our system to pick-up. Our address matching data is updated
quarterly. You may be able to obtain a map by locating a nearby address.
The other instance of this problem occurring is when there is a temporary fault with our system; this can be tested by trying to carry out a search on a
postcode you know works.
If you are unable to get a postcode that works please contact Landmark Technical Support on 0844 844 9961.
No previously saved maps appearing in the list
This is very common and will normally occur when you have opened up the drawing library by mistake. Drawing libraries are not saved maps; these are where you
can store frequently used shapes so you don't have to repeatedly re-draw. Further details on drawing libraries can be found in the user guide (link to user
guide)
Unable to draw/modify drawings on a map
Check to see if you have any unfixed (blue) frames on the map (print or DXF). With an unfixed frame on the map you are not able to modify the screen until
the frame has been fixed. To do this click on the relevant 'Fix Frame' button.
Print Previews do not show at the specified size of the print frame
Lines on a print are finer then on screen
Error finding logo
Logos appear squashed
Unable to get the Print setup box to appear
If after clicking on the 'Set Print Frame' button you don't get a popup box asking you to configure the print frame, this maybe because
you have a Popup blocker intercepting the window we are trying to open. Please refer to the Popup Blocker Section (Link to Popup Blockers).
No Print Preview Appears
If no print preview appears this normally means that Promap was not able to detect any installed printers on your computer. Go into your Start Menu and open
up Printers & Faxes (this maybe under Settings). If there are no printers listed here then you will need to install one. Please refer to your IT team or your
printer help documentation for information on how to do this. If however there are printers shown here, please call Landmark Technical Support on 0844 844
9961
Print Previews do not show at the specified size of the print frame
A classic example of this is that you have put an A3 print frame on your map but when you go through to see the print preview you only see an A4 sized page.
The reason for this to occur is that Promap can only work off the printing defaults. When you login to Promap we check to see what your default printer
driver is set to and set our system up for those options. So if your defaults are set to A4 we will only show you an A4 print area. This problem can be
overcome by setting the default paper size on your printer to the paper size you need to print before you launch Promap. If you are still experiencing
problems, please contact Landmark Technical Support on 0844 844 9961
Lines on a print are finer then on screen
This is a very common thing to happen and occurs because printers have a much finer resolution than a screen. To ensure that your lines print out thicker on
the print you can edit the line on screen and use the 'Specify Width' option, set it to a large thickness and although it looks overly thick on screen be
assured it will print out finer.
Error finding logo
Occasionally when you are going through the print stages you may get an error from Promap informing you that it cannot find your logo file. This means that
Promap couldn't find the logo at the specified location in the Advanced Print Layout.
Please refer to your local IT team or Promap admin user as your logo is stored on you local system/network.
Logos appear squashed
There is a limited area available to place logos on the A4 page. If you are printing an A4 large print your logo may appear squashed due to the available
area being reduced.

Charging and Invoicing
What land coverage do I get for my first print charge?
At survey scale at 1:1,250 the land area within the print frame is 4.92 hectares.
At survey scale at 1:2,500 the land area within the print frame is 19.68 hectares.
At survey scale at 1:10,000 the land area within the print frame is 314.88 hectares.
What is roaming and how does the charging work?
Promap is designed to allow you to navigate your way around all the mapping layers free of charge except for the Detail Layer map. In the Detail layer you
can roam for a certain distance free of charge, In Urban, Rural and Moorland areas this free roaming distance is 1350m. However you will incur a small
charge for roaming once you have used your free allocation. For roaming charges please refer to our current price list.
An explanation of the different charges for rural and urban, moorland etc
With an initial print charge or export the cost is based on the amount of land, the type of land and the scale the map is derived from.
Mapping is made up of Urban, Rural and Moorland tiles which will effect the cost and amount of information you will get in each type of tile, for example:
(the initial charge is dependent on the licence you hold with us)
Initial Print Charge £27.11: Urban: 5 hectares Rural: 20 Hectares Moorland: 320 hectares, as you can see with Rural and Moorland tiles you get more area
for your money this is because these tiles hold less valuable OS information. Please see our price list for more details.
My invoices and statements are arriving by email, why is this?
From July 2008 all statements and invoices for Promap will be delivered electronically. The invoices and statements, which are usually printed, will be
delivered straight to your inbox via email. Find out more about Ebilling.
How to look up spend details and remind them to add VAT
At any point during the month you can log into Promap view historical mapping charges.
After logging into Promap, select Account from the toolbar then select 'Expenditure Reporting', a dialogue box will appear on screen and here you can create
a report for a particular day, month, user etc
Your requested report will appear on screen but you can also print a copy off for your records, please note the charges that appear here will not include
VAT.
Can I split invoices for each transaction?
The costs that appear on an invoice reflect the usage from the user name that was logged in with at the time of the purchase. Each month the invoice is
generated from the user name and any expenditure attached to this will appear on one invoice, therefore the system cannot separate invoices for each separate
transaction.
Tip: If you have a project that needs to have a separate invoice you can create a new user name & password that is specifically used to log in with when
purchasing mapping within the confines of this project, this will generate a completely separate invoice for the new user name showing any expenditure
attached to it.
When I have accepted the charge can I cancel this operation?
Promap is fully automatic once you have accepted the charge you have purchased your map and this transaction cannot be cancelled.
Refunds
Once a map is purchased charges are incurred not only for Promap but also our suppliers. Promap can only refund charges if there is proven to be a problem
caused by our site failure. Customers are able to see exactly what is purchased and we are unable to refund if customers print a map in error. It is
important you take care when selecting your area to ensure this is exactly to your requirements.
Will I be invoiced differently for Promap IQ?
Transactions on Promap IQ will show on your invoice with the rest of your Promap transactions
Why am I being charged again for a map I've already printed?
All detailed maps printed through Promap include a 12 month licence. Once that period has ended, if you wish to print or export the map again you will be
charged 80% of the full cost of the map
Why are you charging us this cost now when you never have before?
Landmark pay royalty costs for all detail maps that are reprinted or re exported after a 12 month period. In order to minimise the impact you will not be
charged to view the map and we will only be charging 80% of the first print charge. This is something that no other map provider offers.
Mapping data accuracy and Licencing
How accurate is the map data?
Prodat Systems Plc makes no warranty as to the accuracy of the map data because any particular individual data point could be inaccurate. Please see the
"LIMITED WARRANTY" section of your Promap Licence Agreement for the precise details of Prodat's warranty.
Addressing inaccuracies detected by Promap users should be reported directly the Data Quality Section, Address Management Centre, 3 & 4 St Georges Business
Centre, St Georges Square, Portsmouth, PO1 3AX or telephone (01705) 838515. If you have an address without a postcode you can find the postcode by phoning
the Royal Mail Postcode line (08457) 111222 or using their web site at
http://www.royalmail.com/portal/rm/postcodefinder.
As part of the quality assurance procedures performed on the map data samples of the data are checked using measuring techniques of a higher precision and
accuracy than those used to create the original data. The difference between these two sets of measurements gives the likely positional error at each data
point. A measure of the accuracy of a data set is calculated from all of the error values and is shown in the table below. (This accuracy measure is
predicted to apply to all of the data set but because it is based upon data sampling it is not guaranteed by Prodat).
Deviation from true position Percentage of map points chosen at random that have this deviation or less
0.4m 68% of 1:1250 survey scale data
0.6m 87% of 1:1250 survey scale data

It is purchased on a per office basis and covers all copying of OS maps by that office irrespective of the number of copies.
The license gives the following benefits:
After purchasing your initial map (or previously purchased maps) the licence then gives you freedom to make unlimited copies of OS paper maps for licensees
own business use within their own organisation. In Promap this means all run-on copies are not charged. Photocopies of Promap prints can be made for no
additional copyright charge.
Allows the use of OS mapping for the publishing for display and promotion purposes. In Promap this means copies made from the system can be onward copied for
inclusion in brochures, catalogues etc subject to certain restrictions.
Allows the electronic transmission of an OS map once the print has been made. In Promap this means that Copy Print to Clipboard is enabled. So the customer
can print a map, copy it into the clipboard and then into an application such as Word or Paintshop Pro.
Allows the map images to be put in a web page to enable the licensee to be able to explain and support their business activities. This means that Promap can
be used to generate images that can be imported into the customer's website, via the Copy Print to Clipboard mechanism.

Ebilling
What is e-billing?
E-billing is electronic invoicing and statements sent to the customer via e-mail.
How do I switch from paper invoicing to e-billing?
If you are still receiving paper invoices and would like to switch to e-billing all you need is a valid email address. Please call our Customer
Administration team on 0844 499 8503 or email registration@promap.co.uk
Why should I switch from paper invoices to e-invoices and e-statements?
E-billing can simplify invoice processing and reconciliation - the .csv file will make it easier to analyse your invoice in Excel
E-billing will eliminate the inconvenience of mis-filed or lost paper invoices and statements
E-billing means you receive your invoice faster
E-billing will help protect the environment by reducing paper usage and our carbon footprint (fewer Royal Mail vans driving around the country delivering
30,000 Landmark invoices/statements each month)
When I switch to from paper to e-billing will there be any change to the content of my paper invoice?
Yes, you will receive a summary invoice (.pdf file) which will display just the totals by contact name but no individual transaction details, making it
clearer to read. The transactions details will be supplied in a separate .csv file and containct more information about each transaction making it easier to
reconcile the charges. The .csv file can easily be opened in Microsoft Excel and analysed if required.
How secure is my e-invoice and e-statement?
Our e-invoices include a digital signature. A digital signature is an electronic signature that authenticates the identity of the sender of a message and
